Meet The Sweeper

Talking to The Sweeper is like having a bookkeeper sitting next to you who never gets tired of your questions. There are no menus to memorize, report builders to configure, or screens to hunt through.

What makes The Sweeper different

Quick start: try these first

What’s my cash balance right now?

Show me my P&L for this year.

Who owes me money?

Who do I owe money to?

What did I spend with each vendor last quarter?

Show me my top customers by sales this year.

Do I have any unmatched bank feed transactions?

Ask anything about your books

Balances and accounts

What was my checking account balance as of June 30?

List my chart of accounts.

Show me all my expense accounts.

Contacts and companies

🧹Clean Books keeps two kinds of payees: contacts (people) and companies (organizations). The Sweeper knows the difference and searches the right list.

Do I have a vendor called Verizon?

Find my contact Janet—what’s the email on file?

List all my customers.

Transactions

Show me all payments over $500 in June.

Find every transaction with “Amazon” in it this year.

Pull up invoice 1042 and show me the line detail.

Open items

What invoices are still unpaid?

Which bills are open right now?

Reports & Balances

Reports and analysis

The Sweeper runs your core financial reports on demand—and then lets you keep the conversation going.

Core reports

Use any date range you want:

Run a P&L for Q2.

Show me my balance sheet as of the end of last month.

Give me a general ledger for my Meals & Entertainment account for this year.

Summaries and rankings

Who were my top 5 customers by sales this year?

Break down my expenses by vendor for the last 90 days.

Ask follow-up questions

Run my P&L for this quarter and compare it to last quarter. What jumps out at you?

Why is my software expense so high this year?

You’re not just pulling a report—you’re having a conversation with someone who just read it.

Who owes you—and who you owe

For receivables and payables, The Sweeper uses proper aging reports and automatically nets out unapplied credits so the totals are accurate.

Who owes me money, and how old is it?

Show me A/R aging for Acme specifically.

What’s my total accounts payable, and who’s the biggest vendor I owe?

Is anything I owe more than 60 days past due?

Lists & Setup

Build and maintain your lists

The Sweeper can create and update contacts, companies, chart-of-accounts entries, products and services, projects, segments, and tags.

Add or update one item

Add a new customer: Maria Lopez, email [email protected], Net 30 terms.

Create a vendor company called Blue Sky Printing.

Create an expense account called Subcontractors.

Make a sub-account under Utilities called Internet.

Rename my “Misc” account to “Ask My Accountant.”

Create a project called Kitchen Remodel for the Lopez job.

Add a tag called Tax-Deductible and make it green.

Import a list in bulk

  1. Go to Settings → Templates and open the List Import Templates.
  2. Fill in the rows in a spreadsheet.
  3. Copy and paste the rows into Ask The Sweeper.
  4. Ask The Sweeper to create them.

Here are my contacts and companies from my old system—please create all of these. (Paste your rows.)

The Sweeper determines whether each row is a person, a company, or both; links people to their companies; checks for existing records to prevent duplicates; and gives you a final tally of records created and reused.

Power move: prepare data with your own AI

The templates in Settings → Templates can bridge data from any system into 🧹Clean Books. Any AI chat tool you already use can reshape exported data to match a Clean Books template; then The Sweeper can do the bookkeeping.

Example: migrate a customer list

  1. Export customers and vendors from your previous accounting software—usually as CSV or Excel.
  2. In your AI tool of choice, provide the export and the column headers from the 🧹Clean Books List Import Template.
  3. Use a prompt such as: “Reshape this export to match these columns exactly. Mark organizations as companies. Put people’s names in the First/Last Name columns. Output as tab-separated rows I can paste into a spreadsheet.”
  4. Review the result—you know your data best.
